Terms & Conditions
Last updated 14 August 2026
These terms govern your use of Mately, provided by Mately Limited. By creating an account you agree to them. If you're signing up on behalf of a business, you confirm you're authorised to do so.
1. The service
Mately is workforce-management software for small businesses — rota, time tracking, leave, shift swaps, team chat, document signing and payroll export. We may add, change, or remove features over time.
2. Accounts
- You're responsible for keeping your login secure and for activity under your account.
- The business owner controls who has access and what role they have.
- You must give accurate information and keep it up to date.
3. Acceptable use
Don't use Mately to break the law, infringe others' rights, send spam or malware, attempt to breach security, or disrupt the service. We may suspend accounts that do.
There is no tolerance for abusive content or behaviour in team chat. That means content that is threatening, harassing, bullying, sexual, or discriminatory on grounds including race, religion, sex, sexual orientation, disability, age, gender reassignment, pregnancy or marital status. Everyone using Mately agrees to this, and it applies whoever they are — an owner and a new starter are held to the same line.
4. Reporting a message
Anyone can report a message in team chat, and anyone can hide another person’s messages from their own view. Both work in the phone app and on a computer. Mately also blocks a short list of slurs from being posted at all, on every device.
A report goes to the owners and managers of the business the chat belongs to.They can see the message, who wrote it and who reported it, and they decide what happens next — an employer is the only party that can act on its own staff. Your name is shown to them when you report something, so you know that before you do it.
What Mately is told. That a report has been made, and when. Not what it says, not who made it, not who it is about. We would rather not read your messages, and this is built so that we do not have to.
If nothing is done about your report, email us at support@mately.co.uk. That is the route today and it reaches a person; we aim to respond within 24 hours. There is one case we are told about without you doing anything: if the person you reported is the only owner or manager, nobody there could review it, so we are notified that a report needs attention — which business and when, and nothing more. A way to escalate anything else from inside the app is being built, and until it exists email is how you reach us — we would rather say that plainly than describe a button that is not there yet.
What we can do.Under these terms we may warn a business, suspend it, or close its account, and we may require content to be removed. What we cannot do is discipline anyone’s employees — that is a matter for their employer, and only an employer can do it.
Reporting is for genuine concerns. Deliberately misusing it to harass a colleague is itself a breach of these terms.
You can reach us about any of this at support@mately.co.uk.
5. Your team's data
Where you use Mately to manage staff, you are the data controller for that data and Mately is your processor under our Data Processing Addendum. Our Privacy Policy explains how we handle personal data.
6. Billing
- £4.99 per active person, per month, VAT included. A seat is any active member of your team.
- 14-day free trial — a card is required to start it; one trial per person.
- Nothing is charged during the trial. It converts to a paid monthly subscription on day 15 unless you cancel first, and we email you a reminder 3 days and 24 hours before that happens.
- The quantity adjusts automatically as people join or leave, with proration.
- If a payment fails we retry for a short period with reminders before access is suspended.
- You can cancel anytime; you keep access until the end of the paid period.
7. Cancellation and data
On cancellation you can delete your data immediately or keep it for 30 days (then it's deleted). We offer a data export so you can keep your own records before deletion.
8. Availability
We work to keep Mately available and secure but provide it "as is", without warranties. We're not liable for issues caused by factors outside our reasonable control.
9. Limitation of liability
To the extent permitted by law, Mately's total liability is limited to the fees you paid in the 12 months before the claim. We're not liable for indirect or consequential losses. Nothing here limits liability that can't be limited by law.
10. Termination
You can stop using Mately at any time. We may suspend or end access for breach of these terms or non-payment.
11. Governing law
These terms are governed by the laws of England and Wales, and the courts of England and Wales have exclusive jurisdiction.
12. Changes and contact
We may update these terms; we'll give reasonable notice of material changes. Questions: support@mately.co.uk.
